A professional email address for your business is an address that uses your own domain, such as mark@yourbusiness.co.uk, rather than a free inbox from Gmail, Outlook or Yahoo. It matters because it makes you look established, keeps your sending reputation separate from personal mail, and means your address still works if staff leave or your provider changes. You do not need to be a large company to do this, and you do not need an IT department. This piece explains why it pays off and how to set it up without the usual mistakes.
What counts as a professional email address?
Any address on a domain you own counts. That means enquiries@, hello@, firstname@ or firstname.lastname@ followed by your registered domain. What it does not mean is a free consumer mailbox used for trading, or an address on a domain someone else controls.

Why a professional email address for business beats a free one
Trust and first impressions
People judge an address in under a second. A free address suggests a side project or a sole trader testing an idea. A domain address suggests a business that expects to be around next year. That is especially true in the trades, professional services and B2B sales, where invoices, quotes and contracts arrive by email.
Deliverability
Free providers share sending reputation across millions of users. If enough of them send spam, filters get twitchy about everyone else. Your own domain gives you your own reputation, which you can protect with proper authentication. Spam filters also weight domain age and consistency, so an established business domain tends to be trusted more than a fresh consumer mailbox.
Continuity and ownership
When your address lives on your own domain, you can move provider, add mailboxes, set up shared inboxes or forward old staff addresses, all without telling a single customer. If your address lives inside a personal account, leaving or losing that account means losing the address and possibly the history.
Legal and administrative hygiene
UK companies are expected to show a registered name, number and address on business communications. Doing that from a consistent domain makes record keeping, VAT correspondence and customer disputes far simpler.
How do you set up a professional email address?

Choose or confirm your domain. Keep it short, spellable and on .co.uk or .com unless you have a reason otherwise. Avoid hyphens and doubled letters.

Pick a provider. Google Workspace and Microsoft 365 are the common choices. Both cost a few pounds per user per month and give you mail, calendars, storage and device sync.

Add the DNS records. Your domain host needs MX records so mail arrives, plus SPF, DKIM and DMARC records so your mail is authenticated. These three are what stop your quotes landing in spam.

Create the right mailboxes. A shared hello@ or enquiries@ inbox for new business, and personal firstname@ addresses for staff. Set a rule so hello@ is monitored by more than one person.

Set up signatures and branding. Name, role, company, phone number and website at minimum. Keep it plain text for reliability.

Test before you rely on it. Send to Gmail, Outlook and a work address. Check the message headers for SPF and DKIM passes.
Take your time over step three. Misconfigured authentication is the single most common reason a new business address ends up in junk folders. What about email security and spam?
A public mailbox will collect phishing attempts. A properly configured business mailbox will as well, but you can do far more about it.
Use multi factor authentication on every account. Turn on DMARC reporting so you can see who is sending as your domain. Put a rule in place that flags external mail. And never send invoices with bank details in a plain email thread without a known contact and a phone call to confirm.

Can I keep my old free address and forward it?

Not if it is configured properly. Add SPF, DKIM and DMARC, send from a consistent address, and avoid attachments and links in the very first message to a new contact. Warm up slowly if you plan any volume at all.
