How the pricing models compare
The headline price matters less than how it grows:
- Per admin user: the cost rises when you add office staff, not when you take more bookings
- Per booking: the cost rises with every delegate. That can suit a provider with few bookings, and it costs more as volume grows
- Flat monthly: the cost stays the same however busy you are, within the plan's limits
- Quote only: the price depends on your size and needs, so you need a conversation before you know it
As a worked example from Arlo's published prices, a provider with 3 admin users on the $207 plan and 9,000 paid bookings a year would pay $7,452 a year for the users and $19,350 for the bookings: $26,802 a year, or about £20,000 at 75p to the dollar. A provider with 2,000 bookings a year on the same plan would pay $11,752. Neither figure includes implementation.
What else to count
Beyond the subscription, count:
- Implementation: some vendors publish a one off set up fee, as Dante does
- Awarding body and scheme fees: these are the same whatever software you use, such as Qualsafe's £10 First Aid at Work registration (Qualsafe) and CITB's £39 Site Safety Plus delegate fee (CITB)
- Staff time: the uploads, reminders and funding checks the software does not do. For example, CITB asks for Construction Training Register uploads within 10 working days
- Other tools: separate systems for certificates, feedback or employer training matrices if the main one does not cover them
What about owning the system?
The other route is a system built for your business, with no fee per booking and no charge per admin user. Varsuite's build is a one off cost of £1,000 to £10,000 depending on the size of your organisation. Hosting with us includes an SLA and unlimited changes within our fair use policy, for as long as you stay hosted. That suits a provider whose bookings are growing, or whose scheme rules, such as CITB uploads, refreshers only while a certificate is in date and Employer Network funding, do not fit a general product.
You can try ours first. Our live training provider demo at training-demo.varsuite.co.uk is a sample provider running first aid, construction and plant courses, with bookings checked against scheme rules, a deadline queue for CITB and awarding body uploads, certificates with a QR check, renewals and an employer portal. We confirm the build price after walking through it with you, and the details are on our training provider software page. A rented product is the better fit for many providers, and we will say so if it is for you.
